On this occasion I will
explain about the parts of a letter.
1.
Letter Head
This section also called Cope Heading or Letterhead or letter.Things that need to be
considered in this section are:
a.
Head of
the letter should be written in full (symbol, name of institution, address,
telephone number, post office box number, fax number, address wire.
b.
Agency
name written with capital letters.
c.
Initial
letter address, post office box, fax etc. written with a capital letter, but
said the task, for example, and, in, or.
d.
Do not
have an abbreviated, eg mem., Fax, jln.
2.
Date of Letter
This section shows when the letter was made
/ signed by an authorized officer. Posting date of the letter is usually
followed by the location of the letter. However,
if the existing masthead agency fully addresses the writing of the location of
the letter should not be written anymore. Another
thing to note is:
a.
The word
dates do not need to be written.
b.
Numbers written in full.
c.
Name in
capital letters and should not be abbreviated.
d.
At the end
of the line is not appended dot.
3.
Address In
The meaning of the addresses in the section
letter indicating to whom the letter was addressed. This
section also has the function: 1) As a guide for filing officer, 2) As an
external address, if you use windowed envelopes. The things
that need to be associated with the mailing address are:
a.
Dear honorable word
abbreviated.
b.
Words do
not need to be included.
c.
Said road not abbreviated, eg
Jln.
d.
The word number, do not have to
be listed, for example: Jalan Pondok Cina 10, Depok 22,105.
4.
Sentence Openers (Salutation)
This section shows that the talks would
begin. Things that need to be considered in writing the opening
sentence.
a.
Forms
commonly used is " Dear "
b.
Initial
letter of the word 'the' was written with a capital letter.
c.
Writing
'with respect' followed by a comma.
d.
Forms of
greeting written on the left margin, and should not be indented as a new
paragraph.
5.
Contents Letter
The letter is a very important because it is
part of anything or container issues to be conveyed. The
shorter length of the letter depends on a lot or at least want to put forward
issues. If the problem is a lot, a long letter, and
if the problem is a little, a short letter.
In general, the language used in the letter
section must be true.The truth is measured by the accuracy of the choice of
words, sentence structure according to the rules, and correct spelling. Complete
contents of the letter consists of a) aline opener, b) paragraph content, c)
closing paragraph.
6.
Closing lines (complimentary close)
This section shows that the talks had been
completed. There are those who argue that the closing
sentence is not to be given. However, there are no restrictions for the
closing sentence includes an official letter.Things that need to be considered
in a closing sentence is:
a.
Forms
commonly used include: respect us, respect me, greeting me, greeting us,
wasalam.
b.
The
complimentary close is related to the salutations:

If
the letter begins Dear Sir/ Sirs / Madam, the complimentary close should be
yours faithfully.
·
If
the letter begins with a personal name, e.g. Dear Mr Jono, it should be Yours sincerely.
c.
Letters
written with a capital letter, while subsequent letters lowercase.
d.
Writing
closing sentence followed by a comma (,)
7.
Signature
Copies of the letter were made if there are
other parties as may be necessary to know the issues raised in the letter, and
in some ways it is expected others to respond as needed. Things
that need to be considered in the writing of the letter copy.
a.
Copies of letters written word
with a capital letter.
b.
A colon (:) followed his copy
if more than one copy.
c.
At Designation Form. No need to be included.
